Privacy Policy
Effective September 1, 2026
This policy explains what information TeleteQ collects when you request a quote, use our website, or use our call-handling service, and how that information is stored, shared, and protected.
01Information we collect
We collect information in three ways: what you give us directly, what your callers generate when TeleteQ handles a call on your behalf, and what your systems share with us through connected integrations.
- Quote requests. Business name, contact name, email, phone number, expected call volume, and anything you write in the notes field of our quote form.
- Account & billing information. If you become a customer: company details, billing contact, and payment information (processed by our payment provider — TeleteQ does not store full card numbers).
- Website usage. Standard technical data such as pages viewed, browser type, IP address, and referring URL, used to keep the site working, secure it against abuse, and understand aggregate traffic.
02Call recordings & transcripts
When TeleteQ answers or places calls for your business — whether handled by our AI voice agents or by a human agent — the call audio is recorded and transcribed so we can deliver the service, hand off between AI and human agents accurately, and give you quality and performance visibility.
Call recording consent varies by state and country. Some jurisdictions (for example, several U.S. states) require that all parties to a call consent to recording before it starts. As the business using TeleteQ, you are responsible for configuring the recording disclosure your callers hear and for complying with the laws that apply to your location and your customers' locations.
TeleteQ provides a configurable pre-call disclosure ("This call may be recorded for quality purposes") that can be enabled per phone line during setup.
04How we use information
- To respond to quote requests and set up your account.
- To operate the AI and human call-handling service, including routing, transcription, and handoff between agents.
- To sync call outcomes into the business tools you've connected (CRM, helpdesk, calendar).
- To monitor call quality, train and evaluate our AI models on your account's own call data (never across customers without consent), and troubleshoot issues you report.
- To detect, investigate, and prevent fraud, abuse, and security incidents.
- To send service updates and, if you opt in, product news. You can unsubscribe from marketing email at any time.
05Legal basis for processing (EEA / UK)
If you're located in the European Economic Area or the United Kingdom, we rely on the following legal bases under GDPR/UK GDPR to process your information:
- Contract. Processing needed to provide the service you've signed up for, such as handling calls and billing.
- Legitimate interests. Improving and securing the service, preventing fraud, and responding to quote requests — balanced against your privacy interests.
- Consent. Where required, such as certain marketing communications or specific call-recording disclosures — which you can withdraw at any time.
- Legal obligation. Where we must retain or disclose information to comply with the law.
07Integrations & subprocessors
TeleteQ can sync call outcomes, tickets, bookings, and order status with CRM, helpdesk, calendar, and e-commerce platforms you choose to connect. Each integration is opt-in per account, and you can review or revoke connected integrations at any time. Data shared with a connected tool is then subject to that tool's own privacy policy.
We use a limited set of subprocessors — companies that process data on our behalf, such as cloud hosting, telephony, and speech-to-text providers — each bound by a data processing agreement. A current list of subprocessors is available on request at the email below.
08International data transfers
TeleteQ and our subprocessors may process and store data in countries other than your own, including the United States. Where we transfer personal data out of the EEA, UK, or Switzerland, we rely on recognized transfer mechanisms — such as the European Commission's Standard Contractual Clauses or the UK International Data Transfer Addendum — with the recipient.
09Data retention
We keep call recordings and transcripts for as long as your account is active, or for a shorter period you configure, and delete them within 30 days of account closure unless we're legally required to keep them longer. Quote-request information from businesses that don't become customers is deleted after 24 months of inactivity.
10Your rights & choices
Depending on where you're located, you have rights over the personal information we hold about you. To exercise any of these, contact us using the details below — we'll respond within 30 days (or sooner where the law requires).
- EEA / UK residents (GDPR): right to access, correct, erase, restrict, or port your data; right to object to processing based on legitimate interests; right to withdraw consent at any time; and the right to lodge a complaint with your local data protection supervisory authority.
- California residents (CCPA/CPRA): right to know what personal information we collect and why, right to delete it, right to correct inaccurate information, and right to opt out of "sale" or "sharing" — though we don't sell or share personal information as those terms are defined by California law. We will not discriminate against you for exercising these rights.
- Other jurisdictions: many other U.S. states and countries (for example Canada under PIPEDA) provide similar access, correction, and deletion rights, which we honor on request regardless of where you're located.
11Security & breach notice
We encrypt data in transit and at rest, restrict internal access to call recordings and transcripts on a need-to-know basis, and log access to customer data. No method of transmission or storage is 100% secure, but we work to protect your information using industry-standard safeguards. If a breach occurs that affects your personal information, we'll notify you and any required regulator without undue delay, consistent with applicable law.
12Children's privacy
TeleteQ is a business-to-business service and is not directed to individuals under 16. We do not knowingly collect personal information from children.
13Changes to this policy
We'll post any changes to this policy on this page and update the effective date above. For material changes, we'll notify active customers by email.
